Workflows in Kylas is a way to automate certain repetitive tasks that are performed throughout a sales process. A workflow helps to write custom Rules based on certain Triggers and Conditions followed by Actions to be performed by the system when the selected Trigger and Conditions match. Workflows can save a lot of time and help you improve your productivity and avoid manual task.
Let us assume there is a scheduled meeting and you need to cancel it because of some unavoidable circumstance and want client to be informed directly from Kylas once you mark the meeting it cancelled. Using this workflow we can achieve this by following the below steps.
Prerequisites:
- Permissions: Any user with Basic access (Create) and Admin access (Read All and Update All workflows).
- Product Plans: Elevate
- Activities to be Completed: Automations on Meeting entity.
Steps:
1. Go to CRM Settings option.
2. Under 'Automation' click on Workflows.
3. Click On Add a workflow option.
4. Add a suitable name so that you can refer to in future for which purpose the workflow is created.
5. Select the 'Meeting' as an entity amongst the given entities.
6. Select action and trigger preferences.

Info:
Action Type means if the workflow has to be triggered on immediate basis or delayed basis.
Trigger preferences means when to perform the action when the entity is created or update.
7. Set conditions - If it is for all the Meetings or Based on Condition you can select your preference.
8. Then select actions to be performed on the given condition as shown in the below image.
9. To activate the workflow immediately after selecting the preferred action, simply click on 'Save & Activate'. Alternatively, you can use the drop-up option shown in the image below to navigate to the 'Save' button if you only want to save the workflow.

Note- You can save the workflow and can 'activate' it later as well as per your need.
