How to manage users and profile permissions


The article covers the steps to be followed for assigning/removing members to a team; and deactivating/activating a team.

Prerequisites

Permissions: Any user with access to Control Center along with the permission to Create/Edit Teams.
Product Plans : ALL
Activities to be completed: Create a team.

Step by step process

Profile Permissions
This section describes the different types of permissions or rights that can be granted to a user profile in Kylas CRM.

Basic Access This type of access gives the user permission to perform specified actions on the entity records owned by the user or shared with the user. For example, a user with permission to Update Leads can update only the leads created by him or which are shared/reassigned to him.

Administrative Access This type of access gives the userpermissions to perform the specified action on all the entity records under the module on which the permission is granted. For example, a user with permission to Read all Leads can access/read any leads available/created in the system.

Special Access Special access is applicable only in the following modules – Lead, Contact, Compan,y and Deal. This access gives the user privileges to add tasks/notes specific to an entity like a lead, contact, deal etc.

1.) Navigate to CRM Settings>>user management>>profile permissions.



a.) Click on manage users and add users under user management section.



b.) once users are added then it can be add in teams (manage teams) under user management.



Profile permissions-
2.) Company Management- READ, UPDATE, DELETE, CREATE
READ-Grants permission for the user to view company details owned/shared with the user.
UPDATE-Grant user permissions to update details of an existing company.
DELETE-Allows user to delete an existing company record.
CREATE-Grants permission to create a new company in the system.
READ ALL-Grants permission to view all the companies in the CRM.
MODIFY ALL-Grants permission to view all the companies in the CRM.
NOTE-A way to add key points to your presentation.
TASK- Task can be created according to the requirement of your business.
MEETING-Meeting can be aligned by the sales professional in the scheduler and providing the information.
QUOTATION- Quotation is document provided by sales professional to the client to know how much goods or services will cost before they commit to the purchase.
DOCUMENT-Document can be uploaded using any productivity tools.

3.) Configuration Management-READ,UPDATE
READ-Grants permission for the user to view existing module customizations
UPDATE-Grant user permissions to update details of an Existing Configuration.

a.) Conversion Mapping-READ, UPDATE,DELETE,CREATE,READ ALL,MODIFY ALL
READ-Grants permission for the user to view the existing field in a module
UPDATE-Grant user permissions to update details of any existing fields.
DELETE-Allows users to delete an existing field created by them.
CREATE-Grants permission to create a new field under a module.
READ ALL-Grants permission to view all the custom fields created in Kylas.
UPDATE ALL-Grants permission to edit/update any custom field present in the system.

b.) Custom field-READ,UPDATE,DELETE,CREATE,READ ALL,MODIFY ALL
READ-Grants permission for the user to view the existing field in a module
UPDATE-Grant user permissions to update details of any existing fields.
DELETE-Allows users to delete an existing field created by them.
CREATE-Grants permission to create a new field under a module.
READ ALL-Grants permission to view all the custom fields created in Kylas.
UPDATE ALL-Grants permission to edit/update any custom field present in the system.

c.) Data Sharing-READ,UPDATE,DELETE,CREATE,READ ALL,UPDATE ALL
READ-Grants permission for the user to view the sharing rules.
UPDATE-Grant user permissions to update details of any existing rules.
DELETE-Allows users to delete an existing rule created by them.
CREATE-Grants permission to create a new sharing rule.
READ ALL-Grants permission to view all the sharing rules.
UPDATE ALL-Grant permission to update details of all the existing rules.

d.) Layout-CREATE,READ ALL,UPDATE ALL
CREATE-Grants permission to create a new layout.
READ ALL-Grants permission to view all the Layout.
UPDATE ALL-Grant permission to update details of all the Layout.

e.) Pipeline-READ,UPDATE,DELETE,CREATE,READ ALL,UPDATE ALL
READ-Grants permission for the user to view existing pipeline.
UPDATE-Grant user permissions to update details of any existing pipeline.
DELETE-Allows users to delete an existing pipeline.
CREATE-Grants permission to create a new pipeline.
READ ALL-Grants permission to view all the existing pipelines.
UPDATE ALL-Grants permission to edit/update any pipeline in the system.

f.) Product and services-READ,UPDATE,CREATE,READ ALL,UPDATE ALL
READ-Grants permission for the user to view existing products and services.
UPDATE-Grant user permissions to update details of any products and services.
CREATE-Grants permission to create a new products and services.
READ ALL-Grants permission to view all the existing products/services.
MODIFY ALL-Grants permission to edit/update any products/services in the system.

g.) Profile-READ,UPDATE,DELETE,CREATE,READ ALL,UPDATE ALL
READ-Grants permission for the user to view existing profiles in the CRM.
UPDATE-Grant user permissions to update any of the existing profile.
DELETE-Allows users to delete an existing profile.
CREATE-Grants permission to create a new profile.
READ ALL-Grants permission to view all the existing profiles.
MODIFY ALL-Grants permission to edit/update any profiles in the system.

h.)Smart List-READ,UPDATE,DELETE,CREATE,READ ALL,MODIFY ALL
READ-Grants permission for the user to view smart lists.
UPDATE-Grant user permissions to update details of existing smart lists.
DELETE-Allows users to delete an existing smartlist.
CREATE-Grants permission to create a new smart list.
READ ALL-Grants permission to view all the existing smart lists.
MODIFY ALL-Grants permission to edit/update any smart list in the system.

4.) Deal Management-READ,UPDATE,CREATE,DELETE,READ ALL,UPDATE ALL
READ-Grants permission to users to view details of the Deals that has been shared/assigned to them.
UPDATE-Grants permission to update/edit details of Deals shared/owned by the user.
DELETE-Grants permission to delete a Deal record owned by the user, from the CRM.
CREATE-Allows user to create new deals.
READ ALL-Allows user to view details of any deal stored in the CRM.
UPDATE ALL-Allows user to view details of any deal stored in the CRM.
NOTES-Grants permission to Add Notes specific to a Deal record.
TASKS-Grants permission to Add TASK specific to a Deal record.
MEETING-Grants permission to Add Meeting specific to a Deal record.
EMAIL-Grants permission to Add email specific to a Deal record.
CALLS-Grants permission to see the calls connected,missed (Call logs) specific to a Deal record.
MESSAGE-Grants permission to Add message specific to a Deal record.
DOCUMENTS-Grants permission to upload documents specific to a Deal record.
QUOTATION-Grants permission to add quotation specific to a Deal record.

5.) Lead Management-READ,UPDATE,CREATE,DELETE,READ ALL,UPDATE ALL
READ-Grants permission to users to view details of the Leads that has been shared/assigned to them.

READ-Grants permission to users to view details of the Contacts that has been shared/assigned to them.
UPDATE-Grants permission to update/edit details of Contacts shared/owned by the user.
CREATE-Allows user to create new contacts.
DELETE-Grants permission to delete a Contact record owned by the user, from the CRM.
READ ALL-Allows user to view details of any contact stored in the CRM.
UPDATE ALL-Grants permission to edit/update the details of any contact stored in the CRM.
NOTES-Grants permission to Add Notes specific to a Contact.
TASKS-Grants permission to Add TASK specific to a Contact
MEETING-Grants permission to Add Meeting specific to a Contact.
EMAIL-Grants permission to Add email specific to a Contact.
CALLS-Grants permission to see the calls connected,missed (Call logs) specific to a Contact.
MESSAGE-Grants permission to Add message specific to a Contact.
DOCUMENTS-Grants permission to upload documents specific to a Contact.

7.) Productivity Management
a.)Notes-READ,UPDATE,CREATE,DELETE,READ ALL,UPDATE ALL
READ-Enables users to view Notes shared with them
UPDATE-Grants permission to update details of the Notes shared with the user.
CREATE-Allows user to add notes.
DELETE-Grant permission to delete a note created by the user from the CRM.
READ ALL-Allows user to view any notes stored in the CRM.
UPDATE ALL-Grants permission to edit/update any notes stored in the CRM

b.)Tasks-READ,UPDATE,DELETE,CREATE,READ ALL,UPDATE ALL
READ-Enables users to view Tasks shared with them
UPDATE-Grants permission to update details of the Tasks shared with the user.
CREATE-Allows user to add tasks.
DELETE-Grant permission to delete a task created by the user from the CRM.
READ ALL-Allows user to view any tasks stored in the CRM.
UPDATE ALL-Grants permission to edit/update any tasks stored in the CRM

c.)Meetings-DELETE,READ ALL, UPDATE ALL
DELETE- Grant permission to delete a meeting created by the user from the CRM.
READ ALL- Allows user to view any meetings stored in the CRM.
UPDATE ALL-Allows user to edit/Update any meetings stored in the CRM.

d.)Documents-READ,UPDATE,DELETE,CREATE,READ ALL,UPDATE ALL
READ-Enables users to view documents shared with them
UPDATE-Grants permission to update details of the documents shared with the user.
CREATE-Allows user to add documents.
DELETE-Grant permission to delete a document created by the user from the CRM.
READ ALL-Allows user to view any documents stored in the CRM.
UPDATE ALL-Grants permission to edit/update any documents stored in the CRM.

8.) Report Management-READ,UPDATE,CREATE,DELETE,READ ALL,UPDATE ALL
a.) Report-
READ-Enables users to view reports shared with them.
UPDATE-Grants permission to edit reports which are shared with/owned by the user.
DELETE-Allows user to delete report.
CREATE-Allows user to create new reports.
READ ALL-Allows user to view any Reports available in the CRM. 
UPDATE ALL-Grants permission to edit/update any Report available in the CRM.

b.) Dashboard-
READ-Enables users to view dashboard shared with them.
UPDATE-Grants permission to edit dashboard which are shared with/owned by the user.
DELETE-Allows user to delete the dashboard.
CREATE-Allows user to create new dashboards.
READ ALL-Allows user to view any dashboards available in the CRM. 
UPDATE ALL-Grants permission to edit/update any Dashboards available in the CRM.

9.) User Management-READ,UPDATE,READ ALL,UPDATE ALL
a.)Availability-
READ-Enables user to set availability of other users.
UPDATE-Grants permission to edit availability of users created by the user with this permission.
READ ALL-Allows user to view availability of any user present in the CRM.
UPDATE ALL-Grants permission to edit/update the availability of any user in the CRM.

b.)Teams-
READ-Enables user to view the details of the teams.
UPDATE-Grants permission to update the details of teams which are accessible by the user.
DELETE-Grants permission to delete the teams which are owned by the user
CREATE-Grants permission to create a new team.
READ ALL-Allows user to view details of any team created in the CRM
UPDATE ALL-Grants permission to edit/update any team present in the CRM.

c.) Users-
READ-Enables user to view user details.
UPDATE-Grants permission to update user details.
DELETE-Grants permission to delete existing users from the system.
CREATE-Grants permission to create new users.
READ ALL-Allows user to view details of any user present in the system.
UPDATE ALL-Grants permission to edit details of any user present in the system.

10.) Order Management-READ,UPDATE,CREATE,DELETE,READ ALL,UPDATE ALL

a.) Quotation
READ-Grant permission to view quotation details.
UPDATE-Grants permission to update quotation details.
DELETE-Grants permission to delete quotation from the system.
CREATE-Grants permission to create new quotation.
READ ALL-Allows user to view details of any quotation present in the system.
UPDATE ALL-Grants permission to edit details of quotation present in the system.
