How to Send an Automated Email with the Task Workflow?

Workflows in Kylas is a powerful tool to automate several activities that are performed repeatedly during the sales process. An active workflow will validate the trigger, conditions, and perform the set actions.

Prerequisites

Permissions:  Any user with access to Create or Update workflows and special access of Emails on required entity and Read access on Email Template
Product Plans: Elevate
Activities to be Completed: Send automated emails through workflow.

Steps 

Step 1. Login to your Kylas account, Navigate to CRM settings> Automations> Workflows.





Step 2.  Click on Add a Workflow.



3) It will redirect you to create a new workflow. Follow the below steps to build a new one.
a) Define the Name of the Workflow, description if required.


b) Set action type and trigger preference - This has two categories to it - Immediate and Delayed action. Choose the required action type and the associated trigger preference. - For reference - "We have selected when a task is created." This means whenever a task is created ,set workflow should trigger.


c) Choose the conditions you require . For reference we have here selected "All tasks". As a result this workflow would trigger for every task created in the CRM.

d) Under Set Actions to be performed - Choose Send Email.



e) Set Email window would appear. Fill the details w.r.t. From and To
Define the Subject.
Choose the desired Template, it will autopopulate in the Body section.( If require you can edit the template by clicking on the pencil icon)
Click on Save.
