How to Track Emails in Kylas

When we target our Audience through Emails, it becomes important to know the status of our emails. This article covers the steps to track emails in Kylas CRM- We can track if the Email Read/Unread/Delivered.

Introduction:

Email tracking in Kylas CRM is a powerful feature that lets you know when and how many times your emails have been opened or read by your leads/customers. With this feature, you can monitor email engagement and follow up accordingly.

Prerequisites:

  1. Permissions:  Any user with Permission on Email on Required Entity.
  2. Product Plans: Elevate

Steps:

1. Click on CRM Settings
2. Navigate to Communication section- under that click on email settings to check if the email id is configured and connected., also check the email tracking feature is enabled.

3. Open a lead/deal/contact on which you have sent an email.
4. Navigate to email icon once you open the lead.


5. Click on the above highlighted to track the details.
6. Open the sent email and hover on the icon to check the details if the email is Read/Unread/Delivered.


7. Once it is sent, you can also track the number of clicks and open events on email popup.


How to check opened mails?

Step 1: Go to Communication → Emails

  • Navigate to Communication → Emails from the left panel.


Step 2: Choose "Sent" Emails Tab

  • Select "Sent" to view all outgoing emails.


Step 3: Use Filter → "Status" → Select “Opened”

  • Click the funnel icon (Filter).

  • Add a filter:

    • Field: Status

    • Condition: Equals

    • Value: Opened

  • Click Apply.


Step 4: View Opened Time and Reopen Count

  • Click on the email thread.

  • You will see:

    • Email opened

    • “Opened At” timestamp

    • Reopened count and timestamps


Step 5: Filter Read/Unread Emails

  • Use "Read" filter:

    • Yes → Read emails

    • No → Unread emails

  • Email tracking only works when:

    • The email is sent from Kylas.

    • The recipient opens the email in a client that loads images (some clients block them).
